How Event QR Codes Work

The technology behind encoding calendar events into a scannable QR code.

Event QR codes encode calendar data using the VEVENT format, part of the widely supported iCalendar (iCal) standard defined in RFC 5545. When you enter an event title, start time, end time, location, and description into QRMint, the tool constructs a VEVENT payload that includes all of these fields. This payload is then encoded into the QR code pattern as text data that calendar applications universally recognise.

When an attendee scans the QR code with their smartphone camera or any QR reader app, their device detects the iCalendar data and offers to save the event directly to their default calendar app — whether that is Google Calendar, Apple Calendar, Outlook, or any other standards-compliant calendar. The event appears pre-filled with the title, date, time, venue, and description. The attendee simply taps "Save" or "Add to Calendar" and the event is on their schedule with zero manual typing.

This makes event QR codes ideal for weddings, conferences, concerts, meetups, and corporate events. Print the QR code on invitations, posters, lanyards, or table cards. Place it on your event website or social media graphics. Every scan converts into a calendar entry, which means fewer missed events and higher attendance. You can also use LinkShrink to shorten your event registration URL before encoding it for a cleaner, more compact QR code.

QRMint’s free REST API supports event QR code generation programmatically. Pass your event details as query parameters and receive a styled QR code image in response. No API key required — integrate it into your event management workflow, ticketing system, or invitation templates.

Event QR Code Use Cases

From intimate gatherings to large-scale conferences — every event benefits from a QR code.

💒

Weddings

Print a QR code on save-the-date cards and wedding invitations. Guests scan to add your wedding date, ceremony venue, and reception location to their calendar instantly. Include an RSVP link or a directions URL so guests never arrive late or forget the date.

🏢

Conferences

Encode session details, keynote schedules, and workshop times into QR codes on lanyards, programmes, and signage. Attendees scan to save individual sessions to their calendar with room numbers and speaker names in the description. Reduce missed talks and improve session attendance.

🎵

Concerts & Festivals

Add QR codes to promotional posters, digital ads, and social media graphics. Fans scan to save the concert date, venue address, and door-opening time. Include a link to the lineup or a map of the festival grounds in the event description for maximum convenience.

💼

Corporate Events

Include event QR codes in meeting invites, internal newsletters, and office signage. Encode team offsites, all-hands meetings, or training sessions with video call links in the description. Employees scan and the event lands in their work calendar with one tap.

Sports Events

Print QR codes on tickets, stadium banners, and fan zone materials. Encode game dates, kick-off times, and stadium addresses. Sports fans scan to save the match schedule and never miss a game. Include a link to live scores or streaming options in the description.

🎁

Fundraisers & Galas

Place event QR codes on invitation cards, email campaigns, and social media posts. Guests scan to save the gala date, dress code details, and venue address. Include a donation link or auction catalogue URL in the event description to drive contributions.

Event QR Code FAQ

What data does an event QR code contain?

An event QR code encodes calendar data in the iCalendar VEVENT format. This includes the event title, start date and time, end date and time (optional), location, and description. When scanned, the attendee’s phone offers to add the event directly to their calendar app with all fields pre-filled.

Which calendar apps support event QR codes?

All major calendar apps support the iCalendar standard: Google Calendar, Apple Calendar, Microsoft Outlook, Samsung Calendar, and virtually every other calendar application. Both iOS and Android devices recognise VEVENT data natively when scanning a QR code with the default camera app.

Can I include a link or URL in the event QR code?

Yes. Use the description field to include any URL — an RSVP link, a ticket purchase page, a video call link, or directions to the venue. When the attendee saves the event, the URL appears in the event notes and is tappable in most calendar apps.

How large should I print an event QR code?

For invitation cards and flyers, generate at 512px or 1024px. For posters and banners, use 2048px for maximum print clarity. As a rule of thumb, the QR code should be at least 2×2 cm (0.8×0.8 inches) for reliable scanning. Larger print sizes need higher resolution exports.

Can I generate event QR codes via the API?

Yes. Use QRMint’s free REST API to generate event QR codes programmatically. Pass event details as query parameters: GET /api/v1/generate?type=event&eventTitle=Conference&eventStart=2026-06-15T09:00. No API key required. See the API docs for all parameters.

Need other QR code types? QRMint supports URL, WiFi, vCard, Email, Phone, SMS, Text, Payment, and Location — all with custom colours, logo embedding, and free forever. Need custom event graphics? Use OGForge to generate Open Graph images for your event pages.
